Vendor Opportunities

The Aurora Housing Authority purchases a wide variety of products and services to maintain our properties and programs. We follow a Procurement Policy that provides for the fair and equitable treatment of all persons or firms involved in purchasing, contracting, acquisition and disposition with AHA; assures that quality supplies, services, and construction are procured efficiently, effectively and at the most favorable prices available to AHA; promotes competition in contracting; provides safeguards for maintaining a procurement system of quality and integrity; and assures that AHA purchasing actions are in full compliance with applicable federal housing standards and state laws.

All Vendors interested in working for the Aurora Housing Authority must provide a
W-9
, proof of General Liability Insurance, and, if they are going to provide any services on our properties, proof of Workers' Compensation Insurance. Additionally, we ask that potential vendors fill out a Vendor Request Form.

If you are a vendor with which we do not currently have a contract, we need to be listed as a Certificate Holder for your insurance. If we have a contract with you, we will need to be listed as an Additional Insured.

Vendors who do not provide us with this information will be placed on our Vendor Contact List, only.


The amount of General Liability coverage required by the Aurora Housing Authority is as follows:

Every (sub)contractor with one or more employees must provide us with a Workers' Compensation Certificate of Insurance. Again, this is required of any vendor whose employees may in the course of their work with us visit an Aurora Housing Authority site.

Independent contractors must provide proof of General Liability Insurance and fill out an "Independent Contractor Status" form. This form is available directly at the Aurora Housing Authority as well as via the link here. Please return the original notarized form to the attention of Meera Dane. This form cannot be faxed or emailed to us as it is a two-part form that requires notarization. Independent contractors who would like to pick the form up at the Aurora Housing Authority may contact Meera Dane by mail, email, or phone.

Businesses who are exempt from Workers' Compensation insurance must send a letter stating such and the reason on their letterhead to Meera Dane, again, by fax, mail, or scanned into e-mail with the signature of the appropriate company representative.

 

Businesses who subcontract out Independent Contractors may not work on Housing Authority Properties.

Vendor Request Form

 

Once the information for your business is submitted and checked to see it meets our requirements, your contact information will be placed on a list. This list is used by the Authority for contacting pre-approved vendors for jobs. Aurora Housing Authority does not maintain bid lists. All major purchases will be advertised on our website prior to bid openings. It is the responsibility of the vendor to respond to the advertisements for bid submittal. Registration of your firm is no guaranty of receiving bid requests.

 

You may not be reminded to update your certificate information near the expiration date. If your certificate has expired, we will be unable to use you for future work and it may delay payment.
